Position: Part-time Executive Director Reports to: Board of Directors
Position Summary:
The part-time PCYC Executive Director is responsible for ensuring that the overall operation and management of the marina, including safety, IT services, and spending within budget, is taking place in an efficient and professional manner. They oversee and track the finances of the PCYC and liaise with the PCYC’s accounting services. They also oversee capital improvement projects and marketing and promotion projects approved by the Board of Directors.

Hours:
Approximately 15-20 hours per week March-November each year and 5-10 hours per week December-February each week.
Detailed Responsibilities:

  • 1. Safety
    Ensures that all staff are trained and kept up-to-date in Workplace Hazardous Materials, First Aid & CPR, Fire Extinguishers, VHF Radio Operations, and any other related safety training.
    Addresses any safety incidents escalated by the Operations Manager that require immediate action and reports to the Board as soon as possible.

  • 2. Facility Management
    Ensures the overall upkeep and cleanliness of all facility assets, including the docks, clubhouse, kitchen area, parking lot, and grounds to a standard that allows the Club to be recognized positively by members and guests.

  • 3. Member, Guest and Staff Management
    Works with the Operations Manager as needed to promote and coordinate the purchase, sale, annual lease, and rental of docks as they are available, ensuring that all sales and annual leases are with the approval of the Board, based on positive recommendations and payment of fees.
    Investigates and addresses complaints, disturbances, and violations of Club policies that the Operations Manager requests help with, in a timely and professional manner and in keeping with the Club’s Disciplinary Policy.
    Ensures that the hiring, training, and supervision of all staff of the Club is conducted in a fair and inclusive way. Works with the Operations Manager to hire new staff.

  • 4. Financial Management
    Works with appointed members of the Board of Directors to put together an annual operating budget and if applicable, capital budget.
    Oversees spending within the operating budget, ensuring all back-up documentation is submitted to the accountants for payment and record keeping.

  • 5. Board Management and Organization
    Updates Directors on important new information that becomes available between meetings as necessary.
    Ensures orderly transition of volunteer executive roles within the Board as needed.

  • 6. Capital Projects and Club Improvement
    Manages and executes all major capital projects of the Club.
    Provides Directors with options and all necessary information required to make informed decisions.
    Provides oversight to ensure projects are meeting deadlines and are on budget.

  • 7. Other Related Duties
    Including but Not Limited to: Attends regular Board meetings, reporting on the progress of capital projects, maintenance, planning, security, safety, etc. Collaborates with external organizations as may be required, such as the Canadian Coast Guard and the Pointe-du-Chene Harbour Authority.


  • Knowledge, Skills and Abilities:
  • -A minimum of 3 years previous experience directing a similar operation, with knowledge and skills in the areas of facility management, financial management, and/or people management. -Marina and boating knowledge a strong asset.
  • -Good computer skills, including the use of MS Outlook, Word & Excel.
  • -VHF Radio Operators License or willingness to obtain.
  • -Strong leadership skills.
  • -Ability to contribute to the development of budgets and to work within a budget.
  • -Personable with an interest in getting to know members, renters, and guests.
  • -Works well under pressure.
  • -Highly organized with the ability to multi-task and manage numerous on-going dynamics concurrently.
  • -Bilingualism will be considered an asset.
